Office Manager and Healthcare Provider - Early Childhood Division

Position Type: Full-Time | Monday–Friday 8:30-5:30 pm

Position Summary:

We are seeking a highly organized and compassionate individual to serve as our Office Manager and Healthcare Provider. This hybrid role supports both administrative operations and basic student health needs, ensuring the school runs smoothly and children are cared for in a nurturing environment. The ideal candidate is detail-oriented, responsive, and thrives in a dynamic early childhood education setting.


Key Responsibilities:

Office Management & Administrative Duties

  • Payroll Processing: Manage payroll entries and timesheet tracking for school staff.
  • Classroom and Health Budgets & Ordering: Maintain class budgets, track expenditures, and coordinate the purchase of classroom and health office supplies.
  • School Lunch Coordination: Oversee faculty and student lunch orders; manage vendor invoicing and payment processing.
  • Coverage & Staffing: Arrange classroom coverage when staff are absent, including communication with substitute agencies.
  • Afterschool & Clubhouse Logistics:
    • Monitor and track daily attendance.
    • Ensure proper supplies are stocked for afterschool programs.
    • Provide desk coverage and parent communication at student pickup time.

Healthcare Provider Duties

  • Daily Health Screenings: Conduct morning health checks in each classroom after student arrival to identify any immediate health concerns.
  • Early Detection: Identify potential health issues in their early stages through routine health screenings.
  • Health Assessment & Care: Provide health evaluations and basic medical care to students and staff experiencing injury or acute illness, when appropriate.
  • Referral Coordination: Initiate and coordinate referrals to parents, school staff, or external health professionals for further assessment and care.
  • Chronic Care Management: Develop and maintain health care plans for students with chronic conditions or disabilities.
  • Medication & Treatment Administration: Administer prescribed medications and daily treatments in accordance with physicians’ orders and school policies.
  • Health Data Management: Maintain, assess, and interpret cumulative health data to address the individual needs of students and staff
  • Recordkeeping & Compliance: Maintain up-to-date health records for all students and staff in Magnus Health, ensuring compliance with local and state health regulations.
  • Staff Support & Training: Serve as a health education resource for faculty, supporting curriculum and instruction as needed.
  • Health & Safety Promotion: Support efforts to ensure a safe school environment by helping prevent communicable diseases and monitoring overall health conditions.
  • Student Well-being: Assess students’ physical, emotional, and social health and implement appropriate strategies to support their well-being.
  • Referrals: Provide referrals to pediatricians and other healthcare specialists when further evaluation is necessary.
  • Collaboration & Communication: Liaise with the Division Head, Healthcare Director, and faculty to ensure safety, consistent information sharing, and adherence to health procedures.
  • Other Duties: Perform additional responsibilities as assigned by the Division Head and Healthcare Director.


Qualifications:

  • Bachelor’s Degree required
  • Background in basic healthcare, nursing, or child wellness required.
  • CPR/First Aid certification required.
  • Medication Administration Training (MAT) required.
  • Experience working with toddlers and young children highly preferred
  • Prior experience in school administration or office management preferred.
  • Strong organizational, multitasking, and communication skills.
  • Ability to interact warmly and professionally with children, parents, and staff.

Compensation commensurate upon experience: $50,000-$60,000/annum
